A phone tree helps you communicate with employees during a disruptive incident or civil emergency where employee welfare may be at risk. This allows you to check the safety of your employees and provide guidance on what they should do.

TOP TIPS

Test your phone tree twice annually. This will help make sure your contacts are accurate, contact details are up-to-date and it also familiarizes staff with how they will be contacted during an incident.

Also, remember for data protection purposes your phone tree should be password protected and any physical copies stored securely. The phone tree should only be shared with staff that will implement the phone tree and any out-of-date copies should be destroyed. Employees who leave your organization should have their details removed from the phone tree with immediate effect.

FACT

It is important to have more than one contact number for each employee. If you only have a work desk phone number for example, the chances are you will not be able to reach that employee during a disruptive incident.
